Getting started
Submitting the membership and medical form starts the club process; it does not create an immediate login. Your account is prepared after membership has been accepted and the club has set up the correct swimmer and household records.
The form gives the club the contact, medical, consent, and household information needed to review and create the membership record.
The club confirms the place, creates or updates the swimmer and family group, assigns the appropriate squad, and links portal permissions.
Look for “Set up your Academy Swim Team portal account”. Its personal password link is valid for 24 hours.
Create a secure password, then sign in with the email address that received the invitation. The Member Login link is in the website header.
No setup email yet?
Wait until the club has confirmed membership and finished setting up the household. If the account is ready but the message is missing, check spam or junk. An expired link can be replaced by the Club Secretary.
One connected experience
What appears depends on the swimmers, family, permissions, and volunteer records linked to the account.
See linked swimmers, current club notices, entered meets, recent results, training sessions, and billing reminders in one place.
Open each linked swimmer’s profile, including squad, Swim England category, emergency information, consent, recent results, schedule, and permitted invoices.
Check the weekly timetable, squad schedules, holiday arrangements, attendance history, and recorded pool hours where they apply.
See competitions before entries open, choose eligible events when they do, review seed times and fees, and follow entry and payment status.
Respond for each invited swimmer, add an optional note, and return later to check or update the response while the event is open.
Review short- and long-course personal bests, chronological results, licensed-result markers, and progress for individual events.
View authorised household or swimmer invoices, due dates, line items, payment status, and payments awaiting automatic Direct Debit collection.
Review account access, change your password, and—where a volunteer profile is linked—see roles, compliance dates, and request contact updates.
Training schedule
The weekly view matches each linked swimmer to sessions for their assigned squad. Pool and land sessions are labelled separately, with times and coach information.


Competitions
A calendar-visible meet can appear under Upcoming Meets before the organiser’s pack arrives. When the club opens entries, it moves to Open for Entries with the club deadline, venue, course, and entry details.
Finished or locked meets remain available so families can review submitted events and payment status.
Official meet entry
Select the swimmer, review the events they are eligible to enter, then choose events and submit before the club deadline. The page shows the session, entry personal best, qualifying result, event fee, and estimated total.
Meet entry is available only for an active, linked swimmer with entry permission and the required Swim England Club Compete category. Age, gender, event conditions, qualification rules, and the meet deadline can also limit what appears.


Results & progress
Choose a linked swimmer, then switch between:
Results are loaded or maintained by authorised club administrators. Members can review them but do not edit official times.
Club events
Open an event to read the details, select Attending or Can’t attend for each invited swimmer, add an optional note, and save. The summary chip makes the latest response visible when the event is collapsed.
Closed events stay visible for recent history but can no longer be changed. An event appears where the household is included by the organiser, has an invitation or saved response, or—before targeted invitations have been sent—is open to all linked swimmers.

The invoice ledger can be searched and filtered by upcoming, paid, or voided status. Open an invoice to see the recipient, line items, dates, totals, and payment information. A scheduled membership invoice normally needs no action because collection is handled automatically by Direct Debit. Contact the Treasurer if payment details have changed or an invoice looks wrong.
Open Swimmers to review a linked profile. Where the account has permission, Edit Details can request changes to address, guardians, emergency contacts, medical information, medication, and photo or video consent. Requests go to an administrator for review; they do not overwrite the club record immediately. My Account also shows linked access and lets the signed-in user change their password.
For volunteers
If the account is connected to a volunteer profile, the portal adds Volunteering. It shows club roles, profile status, DBS and safeguarding dates where recorded, and a form to request email or phone changes. Contact changes remain pending until an administrator reviews them.
What families gain
Members Portal and Spond
They work together, but they have different jobs
Official competition entries, linked swimmer information, training and attendance, club-event responses, results, invoices, billing status, and record-change requests.
Club messages, reminders, general updates, notifications, and activities organised through the Spond app.
Responding to a competition message in Spond does not submit an official meet entry. Complete the entry in the Members Portal before the club deadline.

The portal is the family view and action point. Authorised administrators remain responsible for:
